Employee Referral Program

Through the Staff Employee Referral Program (ERP), current employees are encouraged to refer qualified external candidates for open full-time and part-time staff positions at Carnegie Mellon. Through the ERP, we hope to harness internal networks and create a pool of qualified candidates.

Eligible staff members who submit a referral to a position participating in the ERP may be eligible to receive a one-time monetary reward between $500 to $1,500. The reward payment is contingent upon the referred candidate's hire, completion of their provisional period and meeting all requirements set forth in the Staff ERP Guidelines [pdf].

How do I include my open position in the ERP?

To include your position in the program, indicate your interest when completing the Staff Position Hiring Request form for a new requisition, or contact your recruiter. Refer to the Quick Guide for Hiring Managers [pdf] for an overview of the process.

Eligible Positions:

  • Regular full-time or part-time staff positions
  • Fixed-term staff positions with an anticipated assignment duration of six months or longer

Ineligible Positions:

  • Staff positions in the Software Engineering Institute (SEI), National Robotics Engineering Center (NREC) or Rwanda
  • Adjunct, intern, transitional graduate/extern, postdoctoral associate/fellow, Temporary Employment Service (TES), student worker or sponsored project positions

How do I refer someone to a position participating in the ERP and complete the endorsement process?

Determine if a position is participating in the ERP:

  1. Log in to Workday
  2. Navigate to the Jobs Hub
  3. Select "Positions in the Employee Referral Program"

Who is eligible to receive an ERP reward?

All CMU staff members, except those identified below, are eligible to receive an employee referral reward.

Staff members ineligible to receive an ERP reward:

  • Staff members in the AVP-HR supervisory organization
  • Staff members in Rwanda
  • Any individual directly involved in the recruiting, interviewing or selection/hiring process for the position
  • Immediate family members of the referred individual; immediate family includes a spouse or registered domestic partner, child, parent, sibling, grandchild, grandparent, parent-in-law and sibling-in-law
  • Members of the Executive Management Team or University Leadership Council

For those eligible to receive the employee referral reward:

  • The position the referred applicant applied to must be participating in the program;
  • The applicant must list the referring CMU staff member’s name, email and/or Andrew ID as the referral source during time of application;
  • The referred applicant cannot be an existing or former staff member or a temporary/contingent worker performing work for CMU;
  • The referring employee must complete the Workday endorsement process (if applicable); and
  • The referred applicant/hire must complete their provisional period.

Employee Referral Reward Payments

Provided the eligibility requirements are met, the employee referral reward will be issued to the eligible CMU staff member listed as the referral source in the next available pay period following the completion of the provisional period.

  • If the new hire/referred staff member separates from the university prior to the completion of the provisional period, no payment will be made.
  • The referring staff member (i.e., the staff member listed on the application as the referral source) must be an active employee at the time of the referral and at the conclusion of the new hire's provisional period to receive payment.
